Procurement and Budget Management Software for Organizations – Advantages and Disadvantages
First of all, it is important to emphasize – not every organization needs a procurement and budget management system.
Sometimes, too many procedures and too much bureaucracy can burden employees, causing a lack of adoption of the system and the abandonment of procedures.
So what are the signs that it is time to adopt procurement and budget management software?
I will mention a few non-binding points that indicate it is time for a change:
Annual financial turnover of an organization – once the organization is already generating sums of NIS 5 million and above each year, there are probably quite a few expenses, and it is advisable to have a procurement system that oversees the whole process
Bureaucracy – if the papers/emails/faxes/phone calls and their approvals regarding procurement and engagements with suppliers are keeping employees and managers busy, it is worth considering a computerized procurement system that can centralize all this information and make it easy to retrieve
Procedures – implementing procurement procedures is usually the reason for the bureaucracy mentioned in the previous point. Procedures help the organization meet standards and help prevent loopholes that may cause damage to the organization. However, not infrequently these procedures remain in the procedures manual that the internal auditor worked on, because implementing them requires educating the organization and changing the employees’ ways of working. The moment we rely on the employees’ goodwill, there is a good chance things will fizzle out. The moment there is procurement management software with clear definitions of who approves, when approval is required, and how many price quotes the employee is required to upload, the procedures gain the meaning for which they were written
Meeting budget targets – it is well known that cash flow is king, and the way to achieve good cash flow is to forecast expenses as far in advance as possible, so that we are not surprised when the due date arrives. Manual management of the operation, from the request-for-order stage through payment, indicates that the time has come to implement an information system that will manage the process in order to enable meeting the budget targets we have defined
If the points mentioned here sound familiar to you, then it is time to move forward to procurement and budget management software in order to allow your organization to grow without dealing with unnecessary bureaucracy.
