Replacing or deactivating a user in the system
A user in the system is associated with one person. It is not recommended to allow several different people to log in with the same permissions, in order for us to properly track the actions performed in the system. In any case, support is provided to the person whose name appears on the user. It is not possible to receive support for several different people using the same username.
If a user in the system has finished their employment and has a new replacement, it is recommended to open a new user in the system for the new employee and deactivate the old user. At the time of deactivation, the new user can be entered into the system so that they will be automatically defined in the approval workflow in place of the old user.
Changing a username is intended for a case of a name change (marriage, etc.). This change causes a retroactive change to the history, which may create a situation in which it appears that a user performed actions in the system even though they did not work in the organization at all.
Deactivating a user does not destroy the user, but only removes them from the list of active users. All history records for that user will not change as a result of the deactivation. If we restore a deactivated user to the system, they will return with the permissions they had at the time of deactivation (common in cases of returning from maternity leave, etc.)
