Quantitative Management and Inventory Management of Items
General
There are two ways to manage item quantities in the system: quantitative management and inventory management.
Inventory management is intended for those who need (or are legally required) full inventory management, including warehouse management, bill of materials, and SKU management.
Quantitative management is intended for those who only want to know the inventory balance of each item.
Both mechanisms provide management and tracking capabilities for item quantity balances at different levels.
In addition, it is possible to define quantitative enforcement (or only a warning) when creating a document and in the store. The enforcement method is defined separately for each item. The setting is called “Quantity Restriction” and currently allows 6 options:
- No enforcement
- Quantitative enforcement
- Time-range enforcement – quantitative enforcement combined with a date range on the item, for example room rentals.
- Inventory enforcement
- Quantitative enforcement based on payment documents – quantitative enforcement that considers only documents connected to a payment document
- Inventory enforcement based on payment documents – inventory enforcement that considers only documents connected to a payment document
Quantitative Management
Each item has a “Quantity” field that defines the initial quantity (or the quantity that exists according to bookkeeping).
In the document type settings, you can define whether it is a document that deducts quantities or credits quantities (for example, a delivery note or a return note).
Quantity Used and Quantity Remaining Columns in the Item List
These columns are calculated according to the quantity defined on the item minus all documents in which the item appeared that are defined as deduction/addition documents.
Inventory Management
All inventory management is performed on the Inventory page, which exists in the main menu.
There are 4 options for defining the inventory type for an item:
- Not an inventory item (default) – the item will never appear on the inventory management page
- Embedded item – items with a unique SKU – each instance of the item will receive its own row, and the quantity will always be 1 in each inventory row
- Item without a SKU – all instances of the item type (for each warehouse) will always appear in the same row with an updated quantity
- Batch item – each new receipt of the item will be entered as one new inventory row with the relevant quantity
